What Creatives Grab Coffee collects when you visit the site, read the newsletter, write to us or come on the show, and what we do with it. Short, and in plain language.

The short version

  • We collect very little: your email address if you subscribe, whatever you send if you write to us, and basic usage statistics from Google Analytics.
  • We don’t sell or rent your information, and we don’t run advertising or retargeting pixels on this site.
  • If you come on the show, your name, company and our conversation are published. That’s the point of an episode, and we’ll fix anything that’s wrong.
  • You can unsubscribe at any time, and you can ask us what we hold about you, or ask us to correct or delete it, by emailing dario@creativesgrabcoffee.com.

1. Who we are

Creatives Grab Coffee is a weekly podcast on the business of video production, hosted by Dario Nouri and Kyrill Lazarov and produced by Lapse Productions in Toronto, Ontario, Canada. In this policy, “we” and “us” mean Creatives Grab Coffee and Lapse Productions.

This policy covers creativesgrabcoffee.com, the Creatives Grab Coffee newsletter, and how we handle information about guests and people we invite onto the show. It doesn’t cover other websites we link to, including podcast apps and social platforms.

Dario Nouri is responsible for how we handle personal information. You can reach him at dario@creativesgrabcoffee.com.

2. What we collect and why

When you visit the site

Google Analytics records the pages you view, how you arrived (for example from a search engine or a link), your browser and device type, and your approximate location at city or region level, which Google works out from your IP address. Google says Google Analytics 4 doesn’t log or store IP addresses.

Our web host, Kinsta, and our content delivery network, Cloudflare, process your IP address and browser details in server logs so they can deliver the site and protect it from abuse.

We use this to see which episodes and guides people find useful and to keep the site running. We don’t use it to identify you.

When you subscribe to the newsletter

We collect your email address. Our newsletter platform, Beehiiv, also records when you subscribed and whether you open each issue and click its links, which tells us what readers find useful. We use your email address only to send the newsletter.

When you email us

We use your name, email address and whatever you include in your message to reply to you. Our email runs on Google Workspace. If you’re asking about hiring a production company, we may handle your message through Lapse Productions so the right person can reply.

When you’re a guest on the show

We collect what we need to prepare, record and publish your episode: your name, job title, company, website, city, a short bio, your LinkedIn profile, a photo if you send one, and your email address and phone number for scheduling. We record the conversation, audio and video, on Riverside.

Your episode, its write-up and transcript, and your company’s listing in our Guest Network are published on this site and on YouTube, Apple Podcasts, Spotify and other podcast apps. Short clips may be posted on our social channels. We don’t publish your email address or phone number.

Past guests can be part of a private alumni contact list we use for introductions and referrals between guests. It includes your name, company and business contact details. Tell us if you’d rather not be included.

When we invite you to be a guest

We find production companies through their own websites and public directories such as Clutch, DesignRush and ProductionHub. We use your name, company, city and the business email address you publish only to invite you onto the show. If you’re not interested, tell us and we won’t contact you again.

3. Cookies, analytics and players

The site uses two analytics cookies, both from Google Analytics. We don’t use advertising cookies.

CookieSet byWhat it doesLasts
_gaGoogle AnalyticsTells one visitor apart from another so we can count visits2 years
_ga_YRXD8ZCRH5Google AnalyticsKeeps track of your current visit2 years

Cloudflare may also set a short-lived security cookie, such as __cf_bm, to tell people from bots. It’s needed for the site to work safely and isn’t used for analytics.

To stop Google Analytics from measuring your visits, install Google’s Analytics opt-out browser add-on, or block or delete cookies in your browser settings. The site works the same either way.

Episode pages embed the YouTube player in privacy-enhanced mode (youtube-nocookie.com), which limits what YouTube collects until you press play. The Apple Podcasts and Spotify players don’t load at all until you click them. Once you play or click, YouTube, Apple or Spotify handles that under its own privacy policy.

4. Who we share it with

We don’t sell, rent or trade personal information. We share it only with the service providers that run the show and the site, each of which handles it under its own privacy policy:

ProviderWhat it does for us
GoogleGoogle Analytics for site statistics, and Google Workspace for our email
BeehiivStores subscriber email addresses and sends the newsletter
KinstaHosts the website
CloudflareDelivers the site and blocks malicious traffic
RiversideRecords guest interviews
RSS.comHosts the podcast audio and feed. When you listen in a podcast app, RSS.com logs your IP address and app to count downloads. We see totals, not who listened.

We also share information within Lapse Productions, which produces the show, and with other past guests through the alumni list described above. We’ll disclose information if the law requires it, or to protect our rights or someone’s safety.

5. Where it’s stored

Most of our providers store data in the United States, and some may store it in other countries. While it’s there, it’s protected by that provider’s safeguards, but it may be accessible to courts, law enforcement and national security authorities under that country’s laws.

6. How long we keep it

  • Newsletter: until you unsubscribe. Beehiiv then keeps your address on a do-not-send list so you aren’t emailed again.
  • Emails to us: for as long as we need them to keep track of our conversations with listeners, guests and partners.
  • Site statistics: no longer than 14 months, after which Google deletes them.
  • Server logs: for the short period set by Kinsta and Cloudflare.
  • Guests: published episodes stay online as part of the archive. We keep recordings so we can re-edit, re-publish and make clips, and we keep your contact details while you’re part of the guest network.
  • Guest invitations: if you say no, we keep only your name and email address on a do-not-contact list.

7. Your choices and rights

You can:

  • unsubscribe from the newsletter using the link at the bottom of any issue
  • ask what personal information we hold about you and how we’ve used it
  • ask us to correct anything that’s inaccurate
  • ask us to delete your information, or withdraw your consent to us using it

Email dario@creativesgrabcoffee.com and we’ll reply within 30 days. We may ask you to confirm who you are first.

If you’ve been a guest, we’ll correct anything inaccurate in your write-up or listing, and remove your contact details from our lists on request. A published episode is an interview you agreed to record and publish, so a request to take one down is something we’ll talk through with you.

Depending on where you live, for example the European Union or the United Kingdom, you may have other rights under local law. Email us and we’ll respond under that law.

If you’re not satisfied with how we’ve handled your information, you can complain to the Office of the Privacy Commissioner of Canada.

8. How we use email

We send the newsletter only to people who sign up for it, and every issue includes an unsubscribe link. Guest invitations are individual messages sent to the business email address a company publishes, about being on the show. Reply and say no, and we’ll stop.

9. How we protect it

The site runs on HTTPS, access to our accounts is limited to the people who need it, and we use established providers with their own security programs. No system is perfectly secure, but we take reasonable steps to protect what you share with us, and we’ll tell you if a breach puts your information at real risk.

10. Children

Creatives Grab Coffee is made for people working in video production. It isn’t directed at children, and we don’t knowingly collect information from anyone under 16. If you think a child has given us their information, email us and we’ll delete it.

11. Changes to this policy

When we change this policy, we’ll update the date at the top of the page. If a change is significant, we’ll also mention it in the newsletter.
